How to Get Started With Coastal Oak Property Management
Coastal Oak Property Management uses a clear, 7-step onboarding process to take owners from the first discovery call to a signed lease. It covers your rental analysis, property walkthrough, management agreement, make-ready work, marketing, and tenant screening. You'll know what's happening at every stage, and your property will have the right systems in place from day one.
Onboarding With Coastal Oak Property Management Is Simple
Getting started with professional property management shouldn't feel complicated. Once you reach out, our team guides you through a clear, step-by-step onboarding process designed to get your Los Alamitos, CA property set up correctly, compliant with local requirements, and generating income.
From the first conversation to full management, we handle the details so you don't have to.
Whether you own a single-family home in Rossmoor, a condo near Seal Beach, or a small portfolio across Orange County and Long Beach, the process works the same way. It's built for first-time landlords, owners who are tired of self-managing, and investors switching from another management company. You'll always know what's happening, what comes next, and what we need from you.
Our Seamless Onboarding Process
-
Discovery Call and Rental Analysis
We discuss your goals and evaluate your property.
We talk through your plans for the property, your income goals, and any concerns you have. Then we pull local rental comps, so you get a realistic rent range for your area, not a guess.
-
Property Walkthrough
We visit your property and assess its rent-ready condition.
We look at condition, safety items, and features that affect rent, then share what's worth fixing before move-in and what can wait.
-
Property Management Agreement
We finalize the management plan for your property.
We walk through our services, management fees, and your responsibilities in plain terms, so there are no surprises later. Once everything looks right, we sign the agreement and set your property up in our system. You'll get access to your online Rentvine owner portal for documents and financial reports, and we'll set up a $1,000 maintenance reserve so routine repairs can be handled without delay.
-
Property Intake
We gather keys and develop a make ready plan.
You'll work directly with Matthew Martin, our Founder, who gathers everything needed to set up your property. We collect keys, remotes, HOA details, utility information, and any existing lease or deposit records. Within 1 day of receiving keys, we document the property's condition. If the home is occupied, we also introduce ourselves to your tenants and explain how to pay rent and request repairs.
-
Make Ready
We complete any work to make the property ready to market.
Our vendors handle cleaning, repairs, and touch-ups so the home shows well and meets California habitability standards. We review the scope and cost with you before work begins.
-
Marketing
We strategically market your property, with regular leasing progress reports.
That includes clear listing copy, quality photos, and placement on popular rental sites, including Zillow, Trulia, HotPads, Apartments.com, and Zumper. You'll see how many inquiries and showings we're getting, so you're never left wondering.
-
Applications and Leasing
We screen applicants and finalize a lease.
Every applicant goes through the same fair, consistent screening process that follows fair housing and California tenant screening laws. Once we approve the right resident, we prepare the lease, collect move-in funds, and complete a documented move-in inspection.
Once the lease is signed, your property moves into full-service management. From here, our team takes care of rent collection, maintenance requests, inspections, and tenant communication.

Owner or Renter?
We Handle the Details So You Don't Have To
Our full-service system is designed to take the day-to-day burden off your plate. From documentation and compliance to marketing and maintenance coordination, we handle everything so you can focus on your investment, not the process.
Here's what that covers once your property is under management:
Rent Collection
Rent collection and follow-up on late payments.
Maintenance Coordination
Maintenance coordination with trusted local vendors.
Routine Inspections
Routine property inspections to catch small issues early.
Lease Renewals
Lease renewals and rent reviews that follow California rent rules.
Tenant Communication
Tenant communication, so the late-night calls come to us, not you.
Owner Reporting
Owner reporting so you can track how your investment is doing.
California has some of the most detailed landlord-tenant laws in the country, from rent caps and just-cause eviction rules under AB 1482 to strict security deposit limits. Keeping up with these rules is part of our job, which helps protect you from costly mistakes.
Get StartedHow Long Does It Take to Get Started?
Most properties can be onboarded and ready for management within 1 week, depending on documentation, property condition, and occupancy. Our team moves efficiently while making sure every detail is handled correctly, so your property is positioned for long-term success from day one.
A few things can affect your timeline. A vacant home that only needs light cleaning can move to marketing within days. A property that needs repairs, or one with tenants already in place, may take a little longer while we finish work or transfer lease records and deposits. Either way, we'll give you a clear timeline at the start, so you know when to expect your property to go live.
What You Can Expect From Us
- A structured, efficient onboarding process
- Clear communication at every step
- Local expertise with boots on the ground in Orange County
- Guidance on pricing, strategy, and property readiness
- A smooth transition with minimal disruption to income or tenants
We'll also be honest with you along the way. If your rent expectations are higher than the market supports, or a repair could hurt your listing, we'll tell you upfront. Straight advice at the start saves time, money, and vacant days later on.
Areas We Serve
We know these communities well, from family neighborhoods in Rossmoor and Cypress to beach-adjacent rentals in Seal Beach and Long Beach. That local knowledge helps us price your home right, market it to the right renters, and respond quickly when something needs attention.

Onboarding FAQs
-
Can you take over a property that already has tenants?
Yes. We review the current lease, collect deposit and payment records, and reach out to your tenants so the switch feels smooth for everyone. Their lease terms stay the same. They simply start working with our team. -
What if I'm switching from another property management company?
We coordinate the handoff for you, including requesting files, keys, and deposit records from your previous manager. You won't have to chase down paperwork on your own. -
Do I need to make repairs before you start?
Not always. After the walkthrough, we'll explain which repairs could affect rent or safety and which ones are optional. You decide what moves forward, and we review the scope and cost with you first. -
How will I know what's happening during onboarding?
We keep you updated at each step, and you'll get regular leasing progress reports once your property hits the market. If you ever have a question, you can call our team at 562-502-1200.
